There’s a variety of elements that go into conference room design, especially when adding in solutions for video conferencing. One of the biggest elements is the room itself. The following are the major factors which need to be considered to create an optimized audio video meeting room experience:

  • Acoustics: hard reflective surfaces have to be avoided or covered to reduce echo. Soft & sound refractive furniture materials should be used.
  • Lighting: adequate lighting is essential. Balancing natural light with ceiling light can reduce shadows which can spoil the meeting experience for your virtual guests. Avoid completely white walls or tables, & windows facing the camera position which create glare.
  • Camera: video camera specifications to consider are: resolution (HD, Full HD, or 4K), zoom level & type (optical, digital, or hybrid), field of view angle. 
  • Microphone/s: microphone sensitivity, directionality, echo cancelation, & layout are essential for full audio coverage of the conferencing attendee seat positions within the room.
  • Speaker/s: choosing right speakers & speaker positions for the attendees in the room to hear the others calling remotely.
  • Display/s: 4K smart or interactive displays are recommended. The display size will depend on your room, & presentation text & charts must be readable. Dual display scenarios to split the video call from the presentation content must be supported by the hardware & video platform.
